Every residential contractor has been there: a Google Sheet with formulas you barely remember writing, column widths stretched to the breaking point, and a nagging feeling that one wrong cell is silently throwing off your total. Spreadsheets are the default starting point for a reason — they are free, familiar, and flexible. But there comes a point when the tool that got you started is the same tool holding you back. Why do contractors start with spreadsheets?

  2. Run both systems in parallel for a week. Build the same estimate in your spreadsheet and in the software. Compare the outputs. You will know within three projects whether the software saves time.
  3. Train one person first. Let your most tech-comfortable estimator or sales rep become the internal expert before rolling it out to the whole team.
  4. Keep your spreadsheet as a backup. Until you are fully confident, export the software's numbers into your old format for internal review. You will know when you stop opening the spreadsheet.

The bottom line

Spreadsheets are not the enemy. They are a starting point — and a good one. But they were designed for accounting, not construction estimating. When your business outgrows the tool, the cost of staying is higher than the cost of switching.
